A senior engineer’s resume shows that you can design and deliver a system and that other teams relied on it. A staff engineer’s resume shows that you changed how several teams build things: the direction they took, the standards they adopted and the long-term bets that paid off. Changing “led” to “drove” won’t get you there. You need different evidence, chosen and framed at a wider scope.
Who this is for: senior individual contributors applying for staff or principal roles, and staff engineers whose resume still reads as senior.
What’s the difference between senior and staff on paper?
Most career ladders describe seniority as growing scope: task, then deliverable, then system, then organisation. Gergely Orosz’s The Software Engineer’s Guidebook follows a similar progression from senior to tech lead to staff and principal. The labels vary between companies, but the shape is the same. (For the full ladder, see engineering levels on a resume.)
| Senior | Staff / Principal | |
|---|---|---|
| Scope | A system or product area | Several teams, a platform or the organisation |
| What’s in front | Design, migrations, trade-offs, cross-team impact, mentoring | Technical direction, standards, multi-team leverage, long-term bets |
| Typical verbs | Architected, led, migrated, designed | Defined, set direction, aligned, made standard |
| Proof | The system worked and others depended on it | Other teams changed how they work because of you |
The same achievement can appear on both resumes, but the scope word and the verb have to match the level you’re applying for.
Why do strong senior engineers get rejected for staff roles?
From the hiring side, the most common reason is simple: the resume shows excellent senior work, done again. Five migrations, each one well done, is still evidence at senior scope. Reviewers for staff roles look for a different kind of evidence:
- A decision that other teams adopted, such as a design pattern, a platform or a guideline.
- Problems nobody owned that you identified and organised people around.
- Long-term thinking, meaning bets that took quarters to pay off, not sprints.
- Influence without authority: aligning engineers and leads who didn’t report to you.
If your resume has none of this, it reads as senior however long it is.
How do you rewrite senior bullets for staff?
These examples are hypothetical. Each pair describes the same underlying facts.
Example 1: a migration
Senior framing:
Led the migration of the order service from a monolith to an event-driven architecture, with zero downtime.
Staff framing (only if it’s true):
Defined the event-driven integration pattern used to break up the monolith; wrote the migration playbook that four product teams followed to move their services over the next year.
The difference is the reach: the pattern and the playbook went beyond your own service.
Example 2: reliability
Senior framing:
Improved on-call for the payments team by fixing noisy alerts and writing runbooks.
Staff framing:
Proposed and drove adoption of shared alerting standards across six on-call rotations; the incident review group now uses them as the default.
Example 3: technical direction
Senior framing:
Evaluated and introduced a new data store for the analytics service.
Staff framing:
Wrote the storage strategy for the data platform: when teams should use each of three stores and how to migrate between them. It became the reference for new projects across the data organisation.
If you can’t write the staff version truthfully, that’s useful to know. It might mean you should apply at senior level for now, or that you have the experience but haven’t written it down yet.
The reliability story at every level
Fixed noisy alerts for the payments service and updated two runbooks after shadowing on-call.
What carries the level: hands-on fixes inside one service.
Owned on-call health for the payments service; cleaned up noisy alerts and rewrote the runbooks with the team.
What carries the level: ownership of one service's reliability.
Improved on-call for the payments team by fixing noisy alerts and writing runbooks.
What carries the level: a team's on-call, improved by you.
Proposed and drove adoption of shared alerting standards across six on-call rotations; the incident review group now uses them as the default.
What carries the level: a standard adopted by other rotations and groups.
Do staff engineer resumes need numbers?
Real numbers help, especially for big tech. But staff work often doesn’t produce one clean metric, and made-up numbers are easy to spot at this level. Two honest alternatives:
- Count reach instead of percentages: number of teams, services, engineers or projects affected, if you know them.
- Show technical depth: the constraint, the options you considered, what you chose and what you deliberately didn’t do.
Example without a metric:
Chose to standardise on a single service template over a shared library after weighing upgrade costs across teams; the template removed the version drift that had blocked two platform upgrades.
For more on this, see resume bullets without metrics.
How should a staff resume be structured?
- A two-line summary that names your scope: “Staff-level backend engineer focused on platform and integration architecture for multi-team product organisations.”
- For each role, 3–4 multi-team stories first, then a short line or two of senior-scope work if it adds something.
- Leave out the junior-level detail. “Mentored interns” goes, unless you designed a mentoring programme.
- Selected writing and talks, such as design docs, RFCs, internal guidelines or public talks, described in general terms if they’re confidential.
- Skills stays short. At staff level the bullets carry the evidence, not the tool list.

It depends on the company
| Company type | What “staff” usually means | Lead with |
|---|---|---|
| Big tech | A well-defined level with a promotion process | Evidence across teams, real numbers on reach or impact |
| Scale-ups | Often one of the first staff hires | Standards you built from nothing |
| Enterprise / consultancies | May not exist as a level | Scope in a qualitative frame |
| Small startups | Sometimes “the most senior engineer” | Breadth and hands-on delivery |
Big tech
Staff is a well-defined level with a promotion process behind it. Reviewers expect evidence across teams and, where possible, real numbers on reach or impact. Tie each story to a specific scope.
Scale-ups
“Staff” may be one of the company’s first staff hires, so they want someone who can create standards that don’t exist yet. Put stories about building something from nothing first.
Enterprise and consultancies
Titles vary and the staff level may not exist at all. Describe scope with a qualitative frame: “the core integration platform for the retail business”, “adopted by all delivery teams on the programme”.
Small startups
“Staff” sometimes just means “the most senior engineer”. Breadth and hands-on delivery may matter more than influence across many teams. Check what the posting actually describes.
Staff IC vs tech lead vs engineering manager
A staff engineer is still an individual contributor. Most of your bullets should be technical: design, decisions and leverage. If the role is really a tech lead role, with about half the work on people and delivery, add team size and the practices you introduced. If it’s a manager role, the team leads the story. Applying for a staff IC role with a manager’s resume, or the reverse, is one of the quickest ways to get filtered out.
What not to do
- Don’t change your title from senior to staff. If your scope was staff-level, the bullets will show it, and the interviewer will ask about it anyway.
- Don’t claim org-wide adoption of something one team used.
- Don’t inflate influence. “Contributed to the platform strategy” is honest. “Defined the platform strategy” means you wrote it.
- Don’t fill the page with senior-scope achievements to look experienced. Fewer, wider-scope stories read as more senior.
FAQ
What's the main difference between a senior and a staff engineer resume?
Scope. A senior resume shows systems you designed and delivered. A staff resume shows how you changed the direction and practices of several teams.
Can I apply for staff with a senior title?
Yes, if the scope of your work was staff-level. Keep the real title and let the bullets show the scope.
How long should a staff engineer resume be?
Usually two pages. Cut older and lower-scope work rather than making the page denser.
Should I list design docs or RFCs?
Yes, as evidence of direction setting. Describe them in general terms if they're confidential.
Do I need people-management experience for staff?
Not for an IC staff role. You do need influence without authority, meaning the ability to get other teams to align.
